How do I number items within PHAWorks RA Edition and PHAWorks Lite?

Some worksheet items can be numbered and some items outside the worksheet also can be numbered. Default numbering has been configured for each study template.

You cannot use the worksheet reference feature for worksheet entries without numbering them. Numbering of items outside project worksheets has no impact on worksheet references because you cannot use the worksheet reference feature for information outside the project worksheets.

Within the worksheet, items in the worksheet banner, such as Sections, and entries in many worksheet columns can be numbered.

Numbering options inside the worksheet vary based on the column.

Numbering of items in the worksheet and its banner is configured from a dialog accessed from the Worksheet menu or from context menus in the worksheet, its banner, and tabs such as Sections. The context menu is activated by a right mouse click on the name of the field, the title of a column to be numbered, or the screen. A list of fields and columns that can be numbered is provided in a list on the left side of the dialog and numbering options are provided on the right side. The software automatically selects the item to be numbered according to the location where the context menu was activated. Users can set numbering options for each field or column without closing the dialog, if desired.

Numbering options provided are:

  • Enable entry numbering - If checked, numbering for the column is turned on.
  • Generate number automatically - If checked, the entries will be numbered automatically based on the settings selected. If not checked, you may manually enter numbers which should be assigned uniquely.
  • Renumber automatically - If checked, the entries are always numbered sequentially from beginning to end. If not checked, numbers do not change after their initial assignment. Thus, if entries are subsequently deleted or inserted, numbering may no longer be sequential. For example, you numbers may look like 1, 2, 7, 8.
  • Restart - Select the place for which numbering will start over. The options provided are the previous items in the worksheet hierarchy (parent - child relationship). You may also choose never to restart numbering. When a selected parent item itself is numbered, you may choose to include the parent number in the numbering of the child item. Thus, for a parent with the number “1", the first child will be numbered “1.1". When you do not elect to include a parent number and the numbering restarts for the child, , the first child will be numbered “1".
  • Include parent number - If checked, numbering of entries depends on the parent entries. For example, if an entry is numbered 1.1, its first child is numbered 1.1.1, its second child is numbered 1.1.2, etc.
  • First number - Enter a value you want to specify as the first number in the assigned sequence. The program default is 1.
  • Prefix - Enter an alphanumeric entry you want to be added to the beginning of each number, for example, “C”, to designate causes.
  • Show entry number in a separate column - If checked, the entry number will be shown in the "Ref #" column. Note that the column must be included in the view of the worksheet for it to be seen. Also, note that the Ref # column doesn't appear in the list of columns until you elect show the number in a separate column in the numbering dialog.

Here is an example of restart numbering. If you were numbering Consequences and set numbering to restart with Cause and include the parent number, the numbering might be as follows:

1. First Cause 1.1 - First Consequence for first cause

1.2 - Second Consequence for first cause

2. Second Cause 1.1 - First Consequence for second cause

2.2 - Second Consequence for second cause

Items outside the worksheet that can be numbered are Drawings, Procedures, and Other Documents. Numbering dialogs for them are accessed from context menus in Projects - Documents. A numbering dialog for them can be accessed from the context menu in Projects - Information. Numbering options provided are:

  • Enable entry numbering - If checked, numbering for the field is turned on.
  • Generate number automatically - If checked, the entries will be numbered automatically based on the settings selected.
  • Renumber automatically - If checked, the entries are always numbered sequentially from beginning to end. If not checked, numbers do not change after their initial assignment. Thus, if entries are subsequently deleted or inserted, numbering may no longer be sequential. For example, you numbers may look like 1, 2, 7, 8.
  • First number - Enter a value you want to specify as the first number in the assigned sequence. The program default is 1.
  • Prefix - Enter an alphanumeric entry you want to be added to the beginning of each number, for example, “D”, to designate drawings.

Other areas such as sessions are automatically numbered by the program.
